Our website

The website has been built using WordPress and uses a number of plugins to deliver specific functionality. We have designed the site to collect only the minimum data required to fulfil your requests (such as membership or store purchases).

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included as visitors to the website may be able to download and extract any location data from images on the website.

We do not use, extract or process any EXIF GPS data from images uploaded onto the site.

Cookies

This site may use cookies to assist with the smooth operation of the site and to enhance your visit.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you first visit the site you will be asked to express your cookie preference. You will be asked to confirm or change this preference every three months.

Who we share your data with

We only share your data with third parties where it is necessary to fulfil your request.

Data may be shared with the following partners:

  1. England Athletics – for athlete registration
  2. WooCommerce – for our online store
  3. MemberMojo – for our club members

How long we retain your data

For users that join our running club, regardless of whether this is via our website, we store the personal information they provide in their user profile. All users can see and edit their personal information at any time and they can request to end their membership. Membership data is held in perpetuity for active memberships and is retained for twelve months after membership ceases at which point the data is archived.

Data relating to purchases made via our online store will not be deleted unless explicitly requested. 

Website administrators can see and edit all information in both the membership area and online store.

What rights you have over your data

If you have a club membership or have purchased items through our online shop, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Please note that if you request that we erase any personal data, this will prevent us from managing your membership and, where relevant, from processing any order returns.

We will delay any request to erase your personal data while an order is in progress until the order is shipped or cancelled.

Where your data is sent

We do not sell or supply your data to any third parties except where required to support site functionality.

As a club affiliated to England Athletics, your data will be shared with and processed by England Athletics

Our memberships are managed using MemberMojo and they will process membership data on our behalf.

Our online shop uses WooCommerce and they will process orders on our behalf.
